With Tinx Connector, you can synchronize prices by sending the item’s unit price from Business Central to the webshop. Use this method when you have only one price per item. You can also send price lists where the same item can have different prices based on price list codes, dates, and other parameters. Tinx Connector also contains the Item Price Container functionality to publish only the relevant prices to your webshop. For example, you might have Business Central prices that are no longer valid because their end date has passed.
This article explains how to select the right method for synchronizing prices, apply the unit price, sales price list, or Item Price Container methods, and manage B2B pricing in your webshop.
When the price lists are published, you still need to set up your webshop to apply the correct price to the correct customer or scenario.
Prices, just like customers or products, are exchanged in both directions between your webshop and Business Central. However, there is a difference between sending prices from Business Central and importing prices from the webshop. Tinx Connector treats Business Central price lists as the source of truth. You may have rules on the webshop side that change the final sales price. If so, you can configure the connector to record the different sales price in Business Central. However, the connector records this price only at the sales order level. The webshop price does not overwrite Business Central price lists. What you send from Business Central are prices or price lists. What you might receive from the webshop are the different prices recorded in the sales orders.
Publishing prices from Business Central to your webshop
Before you continue with the setup instructions, review the following method descriptions and choose the one that best fits your needs. Then check the mapping of the appropriate message definitions and adjust it if necessary. For example, if you choose to publish price lists, check the message definition you use to publish prices. Make sure it includes the Price List Line table 7001.
You have three main options for synchronizing prices between Business Central and your webshop.
- Unit Price synchronization. Use it if you always sell your item at the same price, and you don’t have B2B customers. Unit price is the most common approach among companies using Tinx Connector.
- Sales Price Lists synchronization. Use it if you use sales price lists in Business Central and don’t have complex pricing scenarios. You need sales price lists when you sell to B2B customers, or if you need to maintain price lists in different currencies.
- Item Price Container synchronization. Use it if you have very complex pricing scenarios that are hard to publish to the webshop. An example is a combination of a customer price discount group and a customer price group. By default, Business Central calculates the price automatically based on the rules you set up. This applies when a customer places an order and that customer is in a discount group with a special price. However, the webshop has no access to the Business Central pricing engine. The Item Price Container is particularly useful when you need to reconcile multiple Business Central pricing sources into webshop-ready lines. Another use case applies if you use Business Central on-premises with the legacy pricing functionality. In such a case, you may still use price lists that are based on the Sales Price table 7002 and the Sales Line Discount table 7004.
Some companies use a combination of those approaches. However, the best practice is to choose one approach and use it consistently, as you need to adjust the mapping for that approach.
Before choosing the approach, take into account the limitations of your webshop. In most cases, Business Central gives you much more flexibility in setting up your pricing than your webshop. Unit price synchronization is straightforward and applicable to each webshop. However, if you want to use price lists, Magento allows you to set up price groups. In Shopify, WooCommerce, and many other webshops, there is normally one price per item.
Special B2B customer pricing isn’t supported by any webshop by default. You need plugins or SparkLayer to handle such prices. For more information, see Manage B2B pricing in your webshop.
Sales Price Lists and Item Price Container are based on the Sales Price List functionality in Business Central. This functionality uses the Price List Header table 7000 and the Price List Line table 7001. You must enable the New sales pricing experience on the Feature Management page to use the Item Price Container functionality. The Item Price Container requires adjustments if you need to use it with the previous pricing functionality. This functionality was based on the Sales Price table 7002 and the Sales Line Discount table 7004.
Enable price synchronization
The procedures in this article require that the appropriate synchronization dashboard and message definitions are running. Activate them depending on what you are going to achieve. For more information, see Running synchronization dashboards and activating message definitions.
The following tables show the synchronization dashboard and message definition for some of the webshops. The codes for other supported webshops follow the same pattern.
| Direction | Webshop | Synchronization dashboard | Message definition |
|---|---|---|---|
| Publish | WooCommerce | WOO_OUT_PRODUCTS | WOO-020 or WOO-022 |
| Magento | M2R_OUT_PRODUCTS | M2R-020 | |
| Shopify | GQL_OUT_PRODUCTS | GQL-020 |
In each case, there is only one method to synchronize prices in the default mapping. If you are using the default Magento mapping, the M2R-020 contains the Unit Price synchronization. The default Shopify and WooCommerce mapping does not support synchronization of the Unit Price field from Business Central. The default method for those webshops is the Item Price Container. Sales Price Lists are not included in the default mapping of any webshop. If you use the default mapping, you need to adjust the 020 message definition applicable to your webshop to enable methods that are not set up by default.
The approach to synchronizing the Item Price Container to Magento and WooCommerce depends on which plugin you use. You can use either the Tinx B2B pricing plugin or another plugin.
- Tinx B2B pricing plugin. The Item Price Container uses dedicated API endpoints that differ from the standard product messages, such as WOO-020 for WooCommerce or M2R-020 for Magento. As a result, a separate synchronization dashboard and message definitions are required. The default mapping for WooCommerce already includes the WOO_OUT_B2B_PRICING dashboard with appropriate message definitions, so you do not need to create them from scratch. For Magento, you need to adjust the mapping of M2R_OUT_B2BPRICING if you use sales prices. For more information, see Manage B2B pricing in your webshop.
- Other plugins. If you are not using the Tinx B2B pricing plugin, you can send the price as a custom field in Magento or WooCommerce instead. Add it directly to the existing product message definition, such as WOO-020 or M2R-020. A separate synchronization dashboard is not required.
Unit Price synchronization
The basic way to publish prices to the webshop is to use the price from the Unit Price field on the Item Card page. In most webshops, unit price synchronization is included in the message definitions related to product information. Examples include WOO-020 for WooCommerce or M2R-020 for Magento. You can change the price in the Unit Price field on the Item Card page or the Webshop Item Card page. Each change is published to your webshop.
Sales Price Lists synchronization
You can also synchronize Sales Price Lists. Use that option when you don’t have complex pricing scenarios. In this case, you need to add the Price List Line table 7001 to the mapping.
To publish the sales price list to the webshop
- Select Search (Alt+Q) in the upper-right corner, enter Sales Price Lists, and then choose the related link.
- On the Sales Price Lists page, select the price list you want to publish, and then choose the Edit action.
- On the Sales Price List page, on the General FastTab, turn on the Publish to Webshop toggle.
Item Price Container synchronization
Synchronizing price lists between Business Central and your webshop can be complex. In many cases, there are different start and end dates, price list codes, lowest-price logic versus custom pricing, and so on. To address this, Tinx Connector includes the Item Price Container functionality. It consists of:
- The Item Price Container page (table 11205351).
- The TINX Item Price Container job queue (report 11205301).
Together, they let you define pricing rules so that the correct price is synced between Business Central and your webshop.
In the following example, item 100103 has multiple prices in Business Central, including different prices for the same price list code. This makes it difficult to determine the price the connector needs to synchronize.
After you set up and run the TINX Item Price Container job queue, the Item Price Container page shows one price per sales code. This makes it straightforward for the connector to retrieve the correct price.
Technically, the Item Price Container functionality checks the Price List Line table 7001 and explodes all price combinations, such as per item and per customer. Therefore, there are many more entries on the Item Price Container than in the Price List Line table. This is because most webshops require the combination of the item and the customer number.
The next step is to filter out the prices that are not applicable. This way, the Item Price Container page includes only prices from price lists with the status Active. Price lists with the status Draft are excluded. Similarly, price list lines with a Starting Date in the future or an Ending Date in the past are excluded. This ensures the container always reflects currently valid prices.
To set up and populate the Item Price Container page
-
Select Search (Alt+Q) in the upper-right corner, enter E-Commerce Integration Setup, and then choose the related link.
If you don’t find E-Commerce Integration Setup in Search, change your role in Business Central to TINX E-Com Admin. Then on the Role Center page, select Setup, and then choose E-Commerce Integration Setup.
-
On the B2B Regular Item Prices FastTab, in the Price Priority field, determine which price the report selects. Use this setting if the same item has overlapping price list entries.
Choose one of the following options.
- Unit Price. Filters on the lowest or highest price among the matching price list lines. This option ignores the Starting Date and Ending Date of the price list lines. For example, if an item has a regular price of 8 EUR and a future campaign price of 6 EUR, selecting the lowest Unit Price always returns 6 EUR, even before the campaign starts.
- Date Created. Filters on the creation date of the price list lines, selecting either the latest or earliest entry. Use this option only as a fallback, for example if your price list data isn’t reliable and you want to ensure the most recently entered price is correct.
- Start-End Date. Filters on the Starting Date and Ending Date of the price list lines, and selects the price that’s currently valid. This is the most common option. It lets you plan a future price, such as a campaign price. Once the price list becomes valid, the Item Price Container is updated. This also triggers a new message to your webshop.
-
Apply additional filters on the B2B Regular Item Prices FastTab.
The following screenshot shows the example setup that defines which price lists Tinx Connector includes on the Item Price Container Page. The price lists that meet the criteria have the code starting from FURN, they are applied to some customer price group, and are already published to the webshop.
Select Search (Alt+Q) in the upper-right corner, enter Job Queue Entries, and then choose the related link.
-
On the Job Queue Entries page, select the TINX Item Price Container job queue, and then choose the Set Status to Ready action.
When the TINX Item Price Container job queue runs successfully, the Item Price Container page is populated with the prices. The job queue transfers prices from Business Central to the Item Price Container page whenever you make changes to your price lists. This ensures that Tinx Connector can retrieve the correct prices for synchronization. By default, the TINX Item Price Container job queue is set to run once a day. Change the frequency to match how often you want to synchronize prices on the webshop.
To review the prices on the Item Price Container page
Select Search (Alt+Q) in the upper-right corner, enter Item Price Container, and then choose the related link.
On the Item Price Container page, you can see all the prices that are currently valid. These prices are based on the price lists you maintain in Business Central. They are also based on the rules you have set up on the E-Commerce Integration Setup page.
-
You might change the price list or the parameters on the E-Commerce Integration Setup page. If so, wait for the next run of the TINX Item Price Container job queue. Alternatively, select the Update Item Prices action on the Item Price Container page. This populates the Item Price Container page with the updated prices based on the new price lists or rules.
You don’t need to delete existing entries if you have changed the parameters on the E-Commerce Integration Setup page. The job queue will automatically update the existing entries based on the new price lists or rules.
To view prices for a specific item
Select Search (Alt+Q) in the upper-right corner, enter Webshop Item List, and then choose the related link.
On the Webshop Item List page, select the relevant item, and then choose the Edit action.
-
On the Webshop Item Card page, on the General FastTab, select the value in the No. of Container Prices field.
On the Item Price Container page, you can see the different prices for that specific item.
Manage B2B pricing in your webshop
WooCommerce, Magento, and Shopify, just like many other webshops, don’t offer extensive functionality to support B2B pricing agreements. This means you might have B2B customers with specific prices agreed in Business Central, but your webshop lacks the functionality to apply those prices when the customer logs in to the webshop.
The plugins available for webshops also have limited functionality. For that reason, Tinx has developed WooCommerce and Magento plugins that allow you to use the full Business Central pricing logic in those webshops.
This allows you to manage your pricing in Business Central, and the same pricing logic applies in WooCommerce or Magento. This way, when the customer logs in, they see their own pricing, including volume discounts. If they’re not logged in, they can see either no price or a generic wholesale price.
The plugin is neither mandatory for WooCommerce nor Magento. You can synchronize prices with Business Central without the plugin. You can also implement Tinx Connector without the plugin, and install it later. The plugin affects the webshop backend but not the frontend, so your customers won’t see the changes after installation.
Magento and WooCommerce are open-source platforms, which is why Tinx was able to develop plugins for them. Shopify is a SaaS platform, so Tinx cannot develop a similar extension for it. If you use Shopify, you can either use Shopify Plus with its B2B features or SparkLayer. However, in both solutions, it’s impossible to mimic the full pricing logic from Business Central. For example, you cannot use customer groups or item groups in Shopify. You might need workarounds at the mapping level, but they cover only some scenarios.
Importing prices from your webshop to Business Central
In B2C sales, it is common for e-commerce companies to have the webshop as the price lead. This means the prices from the webshop are taken as-is, without Business Central recalculating them based on its own pricing setup. By turning off validation for price fields, you ensure that the prices from your webshop are written to Business Central exactly as they are. Business Central makes no adjustments to these prices.
For example, some companies use the Business Central price as the base price, and then they apply rules on the webshop to calculate the price the customer is charged. The webshop can include a configurator that lets you adjust the product’s length or width and calculate the price based on those parameters.
The goal of importing prices from the webshop is to allow the price on the webshop order to be imported and applied in Business Central. This applies even if the price is different from the Business Central price list. With this process, you don’t overwrite the Business Central price list with the separate price list maintained in your webshop, but you ensure that the special conditions agreed on the webshop with your customer are respected.
To turn off Business Central validation of the prices imported from your webshop
These steps use Magento as an example. The steps are similar for other webshops, but there might be some differences in the mapping details.
Select Search (Alt+Q) in the upper-right corner, enter Synchronisation Dashboard List, and then choose the related link.
On the Synchronisation Dashboard List page, select the M2R_IN_ORDERS dashboard, and then choose the Edit action.
On the Synchronisation Dashboard page, on the Lines FastTab, select the M2R_087 message definition, and then choose the Message Definition action.
-
On the M2R-087 ∙ Import Order from Magento page, in the Lines FastTab, select the message line with the Table Name set to Sales Line and the Element Name set to items. Then choose the Fields action.
-
On the Message Line Field page, clear the Validate Field checkbox for the Unit Price field.
