By default, Business Central supports multiple levels of customer data: companies, customers, contacts, and shipping addresses. Standard Magento supports only customers and shipping addresses. When you integrate the third-party CreativeMinds Multi-User Account Extension with Tinx Magento Connector, the Magento backend is extended to better reflect the structure of Business Central.
With this setup, each contact in Business Central can be created as a separate customer in Magento. The main customer card in Business Central acts as the parent in Magento. The parent can view all orders that its associated contacts place. These contacts appear as individual customers in Magento, and each contact can log in and place orders independently. All contacts stay linked to the same parent, so order tracking and management stay centralized. You can manage complex account hierarchies. They can give each user the access and permissions that the user needs, while the parent account keeps central oversight.
The extension suits companies that employ different people to buy equipment and supplies, because it lets them track who buys what. It also helps accountants and managers who monitor monthly expenses, and administrators who supervise purchases. The extension is mainly used for B2B, but it also has B2C applications. Parent and subaccount synchronization
Customers from the Customer page (table 18) in Business Central are designated as parent accounts.
Associated contact cards
are published as subaccounts. Multiple users can then operate under a
single parent entity.
To set up subaccounts
You can assign an unlimited number of subaccount users to one Magento account. If you plan to have a large number of users, consider the capabilities of your hosting package.
After a customer is created or updated in Business Central, an additional message is sent to Magento through a specific Tinx mapping. The message marks the customer as a parent account.
Contact cards are published to Magento and receive sublogin settings.
With this configuration, contacts can log in and place orders on behalf of their parent account.
Order processing
The existing order process stays the same. When a subaccount places an order, Magento treats it as a standard customer order, because Magento sees the subaccount as a regular customer. As with any other customer, Tinx Magento Connector then downloads the order and, by default, creates a sales header in Business Central.
Subaccount users can get permission to create orders themselves. In addition, the parent user or an administrator can approve order requests. With the extension, you can also delegate approval permissions to specific subaccount users. This delegation makes order approval workflows more flexible.
When a subaccount user submits a new order request, the extension sends an email notification. Depending on how the administrator configures the extension, the recipients can include the master account, the subaccount approver with the closest approval limit, or both.
