Amazon is stricter about buyer data than any other platform that Tinx Connector connects to. For this reason, much of what Synchronize customers describes for webshops doesn't apply to Amazon. Most companies using Tinx Amazon Connector don't import Amazon customer data into Business Central. Instead, they use one customer card for all Amazon orders, or one customer card for each marketplace.
Some companies still need the buyer's address in Business Central. For orders that you ship yourself, you need the street address to deliver the goods. For all orders, the delivery country determines the VAT on the invoice, and business buyers need an invoice with their correct name and address. To import customer data automatically, you need a private application with a restricted role. Amazon grants the restricted role only after a manual review. Most companies find this approval difficult to get. For more information, see Getting PII access for your private application.
This article explains how to assign Amazon orders to customer cards in Business Central and how to bring in buyer details when you need them.
Working without Amazon customer data in Business Central
When you use Amazon, you typically don't import customer data into Business Central. Instead, you create a customer card that you use for all Amazon orders. You can also use multiple customer cards if you sell on many Amazon marketplaces. Companies that work this way bring Amazon orders into Business Central for administration, such as stock, not for the buyer's information.
Assigning all Amazon orders to one customer in Business Central
In the default mapping, all Amazon orders are assigned to the same customer. For more information, see Default mapping. The AMZ-SP-087 message definition creates the sales order in Business Central. It fills the Sell-to Customer No. field with a fixed value, 30000. If the customer card you use for Amazon orders has a different number, enter that number in the mapping instead. The following screenshot shows the Sell-to Customer No. field mapping.
Alternatively, you can specify the default customer number on the E-Commerce FastTab of the Sales Channel Card page. In this case, you need to adjust the mapping for AMZ-SP-087. For more information, see To enable order import for guest customers.
Using a separate customer card for each Amazon marketplace
If you sell on multiple marketplaces, you can create a conversion template to group your customers. For more information, see Conversion templates. The following screenshot shows an example of three customer cards created for customers from three marketplaces.
On the Conversion page, on the Lines FastTab, in the Webshop Value field, enter the value from Amazon. Choose the value based on either the Amazon sales channel or the customer's billing or shipping country. The following screenshot shows the conversion template that uses Amazon sales channel values.
In the following procedure, you modify the Tinx Connector's mapping. The best practice is to create a copy of the existing message definition and make changes to the copy.
You must adjust the AMZ-SP-087 mapping for the changes to take effect. Ignore the default method that sets the customer number to 30000. Create a new line that has the conversion template in the Conversion Method field.
Invoicing with a shared Amazon customer card
If you don't import customer data into Business Central, Business Central doesn't hold the buyer's details. For this reason, you don't send invoices to buyers from Business Central. Companies that need to issue invoices to buyers typically let Amazon generate invoices on their behalf. Buyers then download the invoice from their Amazon account.
You still create a sales order from the orders imported into the Amazon Orders page and post it as an invoice in Business Central. Post every invoice to the Amazon customer card, not to the person who placed the order. The posted invoice records the sale in Business Central, and you don't send it to the buyer.
Importing Amazon customer data to Business Central
If you need the buyer's details in Business Central, you can import them in two ways.
- To import the data automatically, you need a private application with restricted roles. For more information, see Use a private application to connect Business Central with Amazon.
- To import the data manually, download it from Amazon, and then use the Upload Shipping Address Info action on the Amazon Orders page. Manual import works without restricted roles, with both the Tinx public application and a private application.
The following procedures describe how to import the FBM and FBA order reports separately. Seller Central also provides an All Orders report that includes both FBM and FBA orders in a single export. However, even with View access enabled for Fulfillment Tax Reports, this report doesn't include full shipping address data. You need to export the FBM and FBA reports separately to get complete address data for both order types.
To download the FBM order report
For FBM orders, Seller Central provides a dedicated order report that includes the address data.
-
In Amazon Seller Central, choose the Menu icon, choose Orders, and then choose Order Reports.
-
On the Order Reports page, on the FBM orders tab, select Add or remove order report columns.
-
On the Add or remove order report columns page, in the Optional columns section, make sure that the Address Type and Billing options are selected.
You can also select any other columns that you need in the report. The report includes them if the data is available. You can then import that information into Business Central with the manual import.
Select Save changes.
-
On the Order Reports page, select the date range, and then choose Request.
Amazon might take some time to generate the report. Download the report when it's ready.
To download the FBA order report
The FBA order report requires an extra Seller Central permission to include shipping and billing address data.
-
In Amazon Seller Central, select the Settings icon, and then choose User Permissions.
-
On the Manage employees page, select Edit for your account.
-
On the Edit User Permissions page, in the Multi-site permissions section, search for the Tax permissions. Select View for the Fulfillment Tax Reports permission.
Choose Save Changes.
-
Choose the Menu icon, choose Reports, and then choose Fulfilment by Amazon.
-
On the Amazon Fulfilment Reports page, select Amazon Fulfilled Shipments - Tax Invoicing from the Sales section of the left-side menu.
Seller Central displays the list of reports that you can download.
Download the relevant report. The reports include names and shipping addresses, along with other order details.
To upload shipping addresses to Business Central
Ensure that Business Central doesn't create sales orders for Amazon orders that don't have an address yet. For more information, see Holding sales order creation until addresses are uploaded.
Select Search (Alt+Q) in the upper-right corner, enter Amazon Orders, and then choose the related link.
On the Amazon Orders page, select the Upload Shipping Address Info action.
-
Drag the report that you downloaded from Amazon. If you sell through both FBA and FBM, Amazon exports a separate report for each. Upload both reports.
After you upload the report, Tinx Connector matches its data with the orders on the Amazon Orders page. Tinx Connector already covers this matching, so you don't need to adjust anything.
Upload the report in the same file format that you downloaded from Amazon, without converting it. If you open it in Excel and save it again as a CSV file, special characters such as German umlauts can be replaced with question marks.
