Synchronize settlements with Amazon: Payment reconciliation

Amazon doesn't pay you the full amount of each order. It deducts fees such as referral fees and FBA fulfillment fees, and then pays out the balance in periodic settlements. If Business Central records only the order amounts, your receivables won't match what Amazon pays, and your per-order costs will be too low.

Importing Amazon settlements makes this reconciliation easier and adds more automation to the settlement reporting workflow. A settlement report lists the fees that Amazon deducted per order under different categories. After you import settlements, Tinx Amazon Connector converts the settlement data into general journal lines. As a result, Business Central holds the fees that Amazon charged for each sale, not only the order amount. Settlement reports come in two types: tab-separated (the Flat File version) and XML. Tinx Amazon Connector uses the Flat File version, GET_V2_SETTLEMENT_REPORT_DATA_FLAT_FILE_V2. For more information, see Amazon settlements.

In this article, you learn how to bring Amazon settlement data into Business Central for payment reconciliation.

Setting up settlement import

Settlements reach Business Central as an Amazon report. Amazon creates settlement reports on its own schedule, so Tinx Connector retrieves the existing reports instead of requesting new ones. After that, settlements follow the same import and conversion steps as every other Amazon report. Those steps are explained in detail in a separate article. The following procedure covers only what's specific to importing settlements. For more information, see Import data from Amazon by using reports.

After the setup is complete, the process runs on its own. Message definitions and job queue entries download the report, convert it, and create the general journal lines in Business Central.

To set up settlement import and general journal lines

  1. Download the settlement report from Amazon.

Run the AMZ-EU-IN-REPORT synchronization dashboard and activate the AMZ-SP-101 message definition with Description set to Get Settlement Data. For more information, see Running synchronization dashboards and activating message definitions.

  2. Set a recurrence so the request doesn't run every time the job queue entry runs.

On the AMZ-SP-101 message definition with Description set to Get Settlement Data, set the interval between runs. For more information, see Choosing a recurrence for report requests.

  3. Create a job queue entry that downloads Amazon reports.

Create a job queue entry for the Amazon Reports Processing report 11205839. For more information, see Use job queues to schedule tasks.

  4. Create a job queue entry that converts the raw Amazon data imported by Amazon Reports Processing into a format that Business Central can read.

Create a job queue entry for the Amazon Payment Settlement From Report GET_V2_SETTLEMENT_REPORT_DATA_FLAT_FILE_V2 report 11205847.

  5. Review the imported data on the Amazon Settlement page.

  6. Convert Amazon settlements into general journal lines in Business Central.

Run the AMZ-EU-IN-SETTLEMENT synchronization dashboard and activate the AMZ-SP-014 message definition.

Example: Settlement data

The following screenshot shows an example of an order with an Item Price of $5 and shipping of $5, for an order amount of $10 in Business Central. Amazon deducted $1.82 from this order, so the order amount in Business Central should be $8.18, not $10.

Transaction details

The order details list the Amazon charges. Tinx consultants adjust these charges to match your company's requirements. You can choose which Business Central document adjusts these balances. The preferred option is general journal lines. The related expense account is debited against the customer account.
